Laysia Info Consult, a Records Management Consulting Firm, wishes to invite your Church to a one-day skill-based workshop in Church Records Management on Friday 26th June, 2009.

Workshop in progressRecords are very important to every church. They are part of God's story.
The primary purpose of this workshop is to ensure that accurate, authentic, and reliable records documenting the life and work of any church are properly managed and preserved.

Good records management is good stewardship. Without well managed and accurate records, churches cannot prove what actions have been taken and commitments entered into or obligations carried out.

At the workshop, we will emphasize on how to design paper and electronic filing systems and how to establish and maintain church archives.
It's a tall order for a one-day program, so come prepare to dive right in and learn a lot.

2. Developing Filing Systems for Electronic and Paper Records.
Content Outline:
• Practically developing and designing Paper and Electronic filing systems for churches-( hands -on-approach).
• Assigning reference numbers to files and correspondence.

3. Legal Status of Church Records
• Legal position of church records in Ghana.
• General responsibility of heads of churches in respect of management of records.
• Legal Trends in Electronic Records keeping.

4. Management of Active Church Files / Records
• Standards for keeping files/Numbering schemes/Temporary files (TJ's)
• Creation of new volumes, closing files etc.
• Procedure for filing / Causes of misfiling.
• Techniques to beat misfiling/Cross referencing/Tracing missing files.
• Management of other church records-marriage records, Administrative files etc.

5. The Church Archives
• Church Archival Records/Archives management.

1. Managing Electronic Records
• File Naming conventions for your electronic documents to support quick access and easy retrieval.
• Metadata, Version Control etc.

2. Preservation of Electronic Records
• Preservation-steps to developing a long-term electronic records preservation plan.
• Threats to electronic records-viruses, tampering and unauthorized access.

Fee: GH¢ 100 per participant -the fee covers handouts in digital (CD) format refreshments, lunch, a group photograph and a certificate each of participation.

Payment Terms: We would allow churches which do not have immediate funds to participate in the workshop and arrange for payment later.

Target Group:
Church Staff in management position, Pastors, Records Officers, Secretaries, Office Supervisors, Filing Clerks, Church Administrators, IT Personnel, Accountants, Librarians, and any other Church worker who has not been exposed to church records management training.

Course Objectives:
At the end of the course, participants will be able to:
• Design paper and electronic filing systems for the church, avoid misfiling, manage the church's closed and active files and other church records.
• Identify and manage vital church records.
• Manage closed files and other records, draw retention schedules (life span) for church records
• Identify symptoms of poor church records management and able to recommend improvements.
• Appreciate the legal status of church records.

METHODOLOGY
The programme will be intensive and participatory will be run by means of :
• Lectures and group discussions.
• Case studies and exercises.
• Developing ''action plans'' relevant to participants' own Church requirements.
• Question and Answer sessions.
Power points will be used to enhance the presentation.
